Look beyond the advertised monthly number
Ask specifically about after-hours support, system updates, additional users or devices, training, project work and services excluded from the base fee. A clear list of what is and is not included makes competing offers easier to compare.
Understand how the price can change
Some agreements allow annual or periodic increases. Check the timing, calculation and any cap before committing, and consider how those increases affect the total cost across the full term rather than only the first year.
Clarity is part of the service
Good providers should be able to explain the commercial terms in plain language. When responsibilities, exclusions and possible extras are visible from the start, the client can budget accurately and the provider can set realistic expectations.
